How to Choose an Invoice Template

Preview invoice PDF layouts and set one default. New invoices use that template until you change it.

Step 1

Open invoice document settings

Go to Organization, then Invoices under Documents. Template is the PDF layout. Defaults on the same page cover numbering and payment terms, which are separate from the visual template.

Step 2

Preview the layouts

Review Classic (traditional header and full tax breakdown), Compact, Modern, Detailed (GST columns, bank details, and tax summary), Minimal, Professional (India) for a formal bill with letterhead and bank footer, and Consulting summary for project-style invoices. Open a preview before saving.

Step 3

Set the default

Select the template that matches how you bill. Professional (India) or Detailed suits GST tax invoices that need a full tax table. Minimal or Compact suits short bills. Save. The default applies to new invoice PDFs. Quotation templates are chosen separately under Organization, Quotations.

Common questions

Which invoice template should a GST-registered business use?

Use Detailed or Professional (India) when you need a full GST tax breakdown, bank footer, and a formal bill layout. Classic also includes a full tax breakdown. Compact, Modern, and Minimal trade detail for a shorter page.

Does the invoice template change quotations?

No. Invoice templates and quotation templates are separate. Set quotations under Organization, Quotations.

Will changing the template rewrite old invoices?

The default is used when invoice PDFs are generated. Set it before you send the next invoice so the layout matches the one you previewed.
